Project Background: The project is in line with BHA's mission to save lives, alleviate human suffering and reduce the impact of disasters by helping people in need become more independent, the Afghanistan Humanitarian Response Plan (HRP) 2022 and Consortium partners country strategies. The program is designed around complementary three purposes:

PURPOSE 1: To enable most vulnerable HHs, affected by the multiple crisis in Afghanistan, to meet basic essential needs (food and non-food)

PURPOSE 2: To improve the safety, protection, and well-being of vulnerable communities, including women and children by preventing the adoption of negative coping mechanisms.

PURPOSE 3: To reduce excess morbidity and mortality associated with malnutrition, lack of access to primary health care, clean water, poor sanitation and hygiene.


Job Description:

Job Purpose:The Admin Assistant will be responsible for managing overall administration related activities of the provincial office. In addition, the he/she will be assisting the HR in managing HR related activities as well.

Main Duties & Responsibilities: 

JOB RESPONSIBILITIES:

  1. Administration Section:
  • Serve as a primary representative of International Medical Corps to coordinate and liaison with the Line Ministries directorates of the Afghan Government.
  • Ensure to receive and respond to the requests and inquiries from the Government. And register all in / out letters and maintain soft and hard filling systems.
  • Be responsible to maintain International Medical Corps’ registration up to date all the time.
  • Overall responsible for all travel arrangements for International Medical Corps staff both domestic and international by ensuring all travel needs are met in regard to flight, tickets, information, etc strictly in adherence to the organizational and donor regulations.
  • Level of cleanliness, hygiene, and sanitation.
  • Oversee office space maintenance, repair, and utilization. Ensure that all offices look professional.
  • Establish and maintain an appropriate filing system (both hard copies and electronic copies), receive and dispatch official mails and letters.
  • Ensure proper functioning and maintenance of equipment, facilities, and services.
  • Ensure timely compliance with all administrative reporting requirements.
  • Be responsible to organize and coordinate office wide events such as meetings, presentations, shows, holiday festivities and celebrations.
  • Identify emerging administrative and office management challenges on a timely manner and report to the supervisors.
  • Coordinate the communication with the landlord if any changes in the lease agreement terms. Be responsible to provide advance notice to the landlord, if required by the lease agreement terms.
  • Inform the supervisor on time if the lease agreement term is coming to an end and determine the lease extension needs.

  • Inform his line supervisor on timely manner if the lease agreement term is coming to an end and determine the lease extension needs.
  •  In coordination with finance, maintain records of rental payment and taxes paid on behalf of the landlord on annual basis or for the lease period.
  1. HR Section

Admin Assistant will be assisting in HR in performing the following activities.

  • Assisting in Announcements all potential positions locally in field and collect their CVs.
  • Prepare Candidates Evaluation Sheet (Long/Short list) for all announced positions and send to relevant department for shortlisting.
  • Implement recruitment procedures as laid down in staff handbook for the positions and keep records of all recruitments.
  • Provide job offer and contract to the selected candidate and give orientation to new hired staff.
  • Assisting in arrangement of interview committee for written test and oral test.
  • Make separation check list for national staff before the last payment. And Complete exit evaluation upon separation of employee.
  • Continue follow up and check of local staff attendance sheets and give feedback for any tardiness or absentees to line supervisor.
  • Maintain HR office files in proper way and keep records of all correspondences.
  • Provide monthly report (e.g. Leave record, new hired, separated staff, COS etc.)
  • Any other duties which are given by his/her Line supervisor

Organizational Responsibilities: 


Job Requirements:

Qualifications: Bachelor’s degree in Business Administration, Public Administration, or Economics

Experience: 

  • 1-2 years’ experience in administration, Human Resource fields.
  • Working experience in INGs will be a plus point

Competency: 

  • Excellent communication skills (oral & written) in Dari / Pashto / English.
  • Ability to respond to common inquiries or complaints.
  • Ability to effectively present information to management.
  • Strong computer skills (outlook, office programs, internet)
  • High Typing speed is plus point
